Summary

  • An Action Series is used to create a group of actions that can be utilized as part of the loyalty program.
  • In an Action Series, two or more actions can be defined as part of an action series. Once the loyalty member completes all of the actions within a series, they can earn additional benefits, including extra loyalty points.
  • The Action Series can also be configured as a prerequisite for a loyalty member to progress to a higher tier within the loyalty program.

Capabilities

An Action Series enables the user to create a grouping of multiple actions for loyalty members with varying rules, exceptions, and benefits for completion. The main screen in Action Series shows several capabilities that can be used to manage existing configurations.

  1. Add New Action Series: Users can create a new Action Series by clicking on this button. Additional details on how to configure an Action Series are described below.
  2. Search: Users can search through previously configured Action Series. The Advanced Search capability is accessed by clicking on the drop-down icon in the search box. Once selected, the following screen appears:


Here, the user can refine their search parameters to locate any existing Action Series.

  • In the Action Series Name field, enter an existing Action Series name.
  • In the Action Series ID field, enter the applicable Action Series identification number.
  • In the Include Action field, enter the type of applicable action.
  • In the Benefit drop-down list, select the applicable benefit type.
  • With the Status field, you can search depending on whether the Action Series is enabled or disabled by selecting ON or OFF, respectively.
  • The Created Within parameter gives the user the option to search for all existing Action Series created within a calendar option, such as a week or month, or lets the user manually input the date ranges for when the Action Series was created.

Please note we can search for previously configured Action Series with one or multiple parameters. It isn’t necessary to complete all the fields when running a query.

  1. Export: This allows the user to export a configured Action Series such as an Excel or CSV file.
  2. Status: This column within the Action Rules table allows the user to enable or disable an action directly from this view.
  3. Action: This column provides three functionalities:
    • Edit enables the user to modify an existing action.
    • Audit shows all changes made to action by users of the platform.
    • Delete lets the user remove an existing Action Series from the platform.

Configuring A New Action Series

The Action Series configuration provides a number of options and flexibility when setting up a new series.

  • Define the duration, milestones, and benefits for completing an Action Series.
  • Enable gamification elements, such as badges, for completion.
  • Capture relevant details regarding the series, including descriptions, taglines, and terms and conditions associated with the series.

To create an action series, click on the Add New Action Series button from the Action Series page.

  • Once you click on the Add New Action Series button, the image below is displayed.


Configuration Fields and Explanations:

Field

Explanation

General Information

Action Series Name

Enter the name of the Action Series in the provided text box.

 

Note: This is a required field.

Duration

Select the Rolling option if you want the Action Series to be completed in a certain number of days. Select the Calendar option if the Action Series is to be completed in a particular week, month, or year.

 

Note: If the Duration field is set to ‘Rolling’ and the Day field set to ‘0,’ then the visible comment will read (Duration set to "0") and indicates the duration of the Action Series is not time limited.

Enabled

Toggle the Action Series status between ON and OFF.

 

Note: When turning an Action Series to inactive or OFF status, the following warning message displays and verifies confirmation of your action:

Active Badge URL

Enter the image URL that displays when the Action Series is active.

Inactive Badge URL

Enter the image URL that displays when the Action Series is inactive.

Description

Enter the applicable description for the new Action Series.

Tagline

Enter the applicable tagline for the new Action Series.

Terms and Conditions

Enter the applicable terms and conditions for the new Action Series.

Series Milestone Limit

The Action Series Report shows the Required Credits for the series and members' Completed Credits. The Required Credits refers to the count or point requirement members must complete for the action to be marked as complete in the series. Completed Credits refer to what each member has completed individually in terms of points accrued or actions taken.

 

If the Series Milestone Limit checkbox is enabled, the Action Series Report will stop recording Completed Credits after the Required Credits criteria have been met.

Action Series Type

The Action Series Type field designates a series to be based on an action with outcomes determined by points, counts, or both. Select one of the applicable options as described below:

 

Based on Count: The series is determined by count and is based on how frequently a specific action must be performed to qualify for the series bonus.

 

Based on Points: The series is determined by points as being based on points that have to be acquired through performing particular actions in order to receive the series bonus.

 

Based on Points & Count: The series is determined based on both counts and points to be satisfied in order to attain the series bonus.

Minimum Criteria

This specifies the minimum number of points, if the Action Series type is set to be based on points, that must be earned in order to be eligible for the series bonus.

 

Note: This option only becomes available after choosing either the Based on Points or the Based on Points & Count option in the Action Series Type field.

Choose Action

The member selects the applicable action from the drop-down list, where both the action ID and action name are displayed. The options shown in the drop-down list are the Actions configured in the Action Rules module.

The Series Milestones tab enables users to designate specific actions as milestones. These milestones must be accomplished within the specified duration to earn bonus points.

Members can set the duration for milestones in the General Information tab of the Action Series configuration.

Count

The minimum number of times a member must complete the action for the milestone to be marked as complete in the Action Series. For example, 1 or 2.

 

The Where and Criteria options are available only when Purchase Action is selected in the Choose Action field.

 

Where

One option must be selected from the drop-down list that defines the criteria of the Purchase action.

 

Only Count: Members are only required to complete the purchase action regardless of the amount spent and points earned.

 

Note: The Criteria field is not available when the user selects the Only Count option.

 

Per Order: Set the minimum number of products that must be purchased in the order.

 

Total Purchase: Set the minimum amount that must be spent on the order.

 

Base on Spend: The lifetime amount spent with the business by the members.

 

Note: The Count field is not available when the user selects the Base on Spend option.

 

Base on Point: Total points accumulated by the member from purchase actions.

 

Note: The Count field is not available when the user selects the Base on Point option.

Enter the value based on the option selected in the Where field.

Series Benefit Points

Bonus Points

Enter the number of points that the member receives as a bonus after completing the series of specified actions.

Hold Points

Enter the number of days that the points are held after the Action Series is completed. Depending on the number of days specified, the points are then released.

Action Series Expiration

Rolling: Provide the number of days for when the Action Series expires.

 

Calendar: Choose from a list of calendar time frames including a week, month, and year.

  1. Calendar > Week (Mon-Sun) >1: If the user selects the Week option:
    For example, if a member earns points on a Wednesday, those points expire on the following Sunday of the same week.
  2. Calendar > Month > 2: If the user selects the Month option:
    For example, if a member earns points in August, those points expire on September 30.
  3. Calendar > Year > 1 Year: if the user selects the 1 Year option:

For example, if a member earns points on May 2, 2023, those points expire on December 31, 2023. The expiration date for points can be set for up to 10 years from the date they were earned.

In the Action Series Expiration option, the Week, Month, and Year (1 Year) options are available. Annex Cloud added a points expiration from 1 year to 10 years. Now, we have the option to select an expiration date up to 10 years in the future.

Note: Points Expiration options are available in Action Rules, Action Series, Tiers, and Campaigns.

In the Series Benefit tab, two new fields have been introduced.

They will both be added to a new accordion named “Series Limit”.

A user can view a message at the right end of the fields. It represents the default behavior of the setting.

A user or admin can set the Maximum Achievement Limit or Maximum Point Limit by Day, Week (Mon-Sun), Month, Year, and Anniversary options as recurring events.

Series Benefit Points Limit

 

By default, a member will receive the series benefit once during the action series. A user or admin can modify the maximum achievement limit and the maximum points a member can earn. Users or admins can set the Maximum Achievement Limit or Maximum Point Limit by Day, Week (Mon-Sun), Month, Year, and Anniversary options as recurring events.

Series Benefit Reward

 

  • Admins or users can configure the action series to provide specific rewards based on completion within the loyalty program.
  • Members can earn rewards by completing specific actions within the action series, allowing them to enjoy discounts and other benefits.
  • Admins can see all active reward names from the reward list in the Select Reward dropdown menu and they can select a specific reward, enabling loyalty members to benefit from it after completing the action series.
  • After setting the above fields, click Create New Action Series to save the Action Series. A configured Action Series can be modified using the Edit functionality from the Action Series list table.

Note: After saving all the configurations mentioned above, the selected benefit reward for the series will be displayed under the "reward name" column on the action series page.

For instance, in the image below, you can see that the member has chosen "Series Benefit Reward" as "RewardName-test2."

 

 

After setting the above fields, click on the Create New Action Series button to save the Action Series. A configured Action Series can be modified using the Edit functionality from the Action Series list table.

Series Benefit Reward Use Cases

Use Case 1:

  • If a member makes a purchase totaling 50 points or more in a calendar year, they will receive a reward or coupon. This benefit is issued only once per year and resets annually, ensuring members can qualify for the reward again each year.

Action Series Configuration

  • To achieve the above use case, the admin must configure the action series as follows:


  • In the General Information tab, set the duration by selecting Calendar as the type and Year as the sub-type.

  • In the Series Milestones, select Action Series Type as Based on Count.
  • Choose Purchase as the action with the count set be at least one and ensure the criteria for each order is a minimum of 50.


 

  • In the Series Benefit Configuration under Series Benefit Reward, select the reward from the configured active rewards list, for example, “Welcome Selection“.


 

  • The active action series name and its details, such as type, duration, action IDs included, are displayed in the action series.


  • The selected active reward name and its details, such as the number of points required, deduction amount, and display order, should be displayed in the rewards section.

Use Case 2:

If a member makes three purchases in a calendar year, each totaling 50 points or more, they will receive a bonus of 300 points for the year. This benefit resets annually as a recurring reward for members who meet the required milestones.

Action Series Configuration

  • To achieve the above use case, the admin must configure the action series as follows:


  • In the General Information tab, set the duration by selecting Calendar as the type and Year as the sub-type.
     

  • In the Series Milestones, select Action Series Type as Based on Count.
  • Choose Purchase as the action with the count set be three and ensure the criteria for each order is a minimum of 50.


  • In the Series Benefit Configuration under Series Benefit Points, set the bonus points as 300.


  • The active action series name and its details, such as type, duration, bonus points are displayed in the action series report.

Use Case 3:

If a member makes five purchases in a calendar year, each totaling 50 or more, they will receive a reward or coupon once per year. This benefit resets annually as a recurring reward for members who meet the required milestones.

Action Series Configuration

  • To achieve the above use case, the admin must configure the action series as follows:


  • In the General Information tab, set the duration by selecting Calendar as the type and Year as the sub-type.
     

  • In the Series Milestones, select Action Series Type as Based on Count.
  • Choose Purchase as the action with the count set be five and ensure the criteria for each order is a minimum of 50.


  • In the Series Benefit Configuration under Series Benefit Reward, select the reward from the configured active rewards list, for example “My Icons”.


  • The active action series name and its details, such as type, duration, action IDs included, are displayed in the action series.


  • The selected active reward name and its details should be displayed in the rewards section.

Scenario 1:

If a member makes a second purchase within 90 days, they should get a series bonus of 20 points once in a lifetime.

A member purchases on May 1, 2022.

Their next purchase occurs on October 1, 2022, with a 153-day difference between purchases.

Result:

In this case, the member is not eligible for the action series bonus and hence will receive the bonus as 0.

 

Scenario 2:

If a member makes a second purchase within 90 days, they will get a series bonus of 50 points once in a (Lifetime).

A member purchases on May 1, 2022.

Their next purchase happens on June 1, 2022, with a 31-day difference between purchases. Here, the member is eligible for an action series bonus and receives 50 points.

The clock resets on July 31, 2022.

If the member purchases on August 1, 2022, and another on October 1, 2022, they should receive the bonus points again, as they meet the 90-day criteria.
